BTME - Q&A for exhibitors

Why exhibit at BTME?

With 4,400 unique visitors in 2020 across three days of exhibition, BTME provides unrivalled access to the key decision makers within the UK sportsturf industry. 

Ideally placed at the start of the calendar year, as turf managers begin to plan their activities for the coming year, BTME provides you with the platform to show your products and services to customers who are eager to learn how you can help them achieve their ambitions for their facilities.

By exhibiting at BTME you are announcing yourself on the biggest stage in the industry and marking yourself out as key supporters of the sportsturf industry.

What size stand spaces are available?

There are varying sizes of stands available. The smallest stand size is 3m x 3m (9m3), all the way up to 100m3. All available stands and sizes can be viewed on the floorplan, which is found under the ‘Attendees’ button on the menu bar.

Stand sales will continue for as long as stand space is available, or up to one week before the exhibition start date. Please note that stand space will be reserved on a first come, first served basis and can be reserved by submitting a 'contract of exhibition space' form.

How much does it cost to exhibit?

Stand space starts at just £197 (plus VAT) per square metre. 

Various opportunities are available, such as a full shell scheme or space only and the overall cost will depend upon your requirements and the desired size of stand. Our friendly team can discuss the options available to you and work out what is appropriate for your needs and goals.

  • An early bird discount of £5 per square metre will be granted on stand bookings received before 31 May 2021 to all exhibitors who exhibited at BTME 2020 or Festival of Turf 2021.
  • Any company that has exhibited at BTME continuously over the last three years (2018, 2019 and 2020) is eligible for a 10% discount.
  • Any company that has exhibited at BTME over the last two years (2019 and 2020) is eligible for a 6% discount.
  • Any company that exhibited at BTME 2020 is eligible for a 3% discount.
  • Please note the loyalty discount offer ends 31 August 2021.

A deposit invoice of 25% (plus VAT) will be raised on receipt of your 'contract of exhibition space' form. An invoice for the 75% (plus VAT) balance will be raised on 1 October 2021. All stand bookings received after 30 September 2021 will be invoiced at full cost.

What will my stand look like?

There are two stand options available to book. These are full shell stand and space only:

Full shell stand

  • Comprising of white melamine panels that are 2,500mm high, with top and bottom aluminium rails, aluminium posts at every 990mm centre. The actual panel showing will be 950mm x 2,340mm.
  • Fascia to each open side with name board detailing exhibiting company name and stand number.
  • Grey carpet to stand floor.

Space only

  • Grey carpet to stand floor.

Both full shell scheme and space only options include carpet (standard grey colour) together with cleaning service. Alternative carpet colour can be arranged upon request at an additional cost.

Power sockets can be supplied to stand spaces for an additional charge and ordered through Full Circle, our stand build company. For further details please view the Exhibitor Manual under the 'Exhibitors' section of the website.

You are free to bring your own furniture to utilise at the exhibition. Alternatively, you can hire furniture and purchase extra lighting, which will be installed on your stand during build-up. Full details, along with an order form can be found in the Exhibitor Manual.

Please note that this is solely an indoor exhibition and for the safety of everyone in attendance, demonstrations of workable and moveable machinery and equipment is not permitted.

What is the stand build-up and breakdown procedure?

The exhibitor, their employees and contractors may enter the exhibition area for the purposes of erecting and preparing their exhibit(s) during the ‘build-up’ period, which begins on Sunday 23 January 2022.

Each hall will be released when available prior to 12 noon on Sunday 23 January until 8pm on Monday 24 January 2022. All stands must be complete and ready for the exhibition's opening at 9am the following day.

The organiser’s tenancy of the exhibition area ends on Friday 28 January 2022 and so all exhibits and materials must be removed from the exhibition building by 11am on that day.

The break down of stands will begin upon the closing of the show at 2.30pm on Thursday 27 January until 9pm that evening.

Exhibitors wishing to break down stands on Friday 28 January 2022 will have access to the halls from 8am. The Dragon Road Vehicle Park will be open from 7.30am.

What are the timings for exhibitors?

Exhibitors commit to:

  • Occupy the stand and the space, to complete all interior fitting works, remove all rubbish and have all the exhibits in position by 8.30am on 25 January 2022.
  • Have the stand and all the exhibits open to view and the stand adequately staffed continuously during the open hours of the show.
  • Not to dismantle the stand or fittings or remove any exhibit from the stand before 2.30pm on 27 January 2022.
  • Remove exhibits, fittings, tools and all goods from Harrogate Convention Centre by 11am on 28 January 2022.

Will there be advertising opportunities to promote our company’s presence at the exhibition?

Yes, the organisers will be in touch to make you aware of all sponsorship and advertising opportunities available.

You will also have the chance to advertise before and after the event in the dedicated preview and review features of Greenkeeper International, the leading magazine for the golf greenkeeping industry, which is distributed to every member of the association each month.

Do I need to register my staff who will be working on the stand?

Yes, each member of your team will need to register individually and be issued with an exhibitor badge.

COVID-19 guidelines may restrict the number of staff members permitted to attend the show and exhibitors will be regularly updated with the latest changes to guidance as they are published by the UK Government.

Will I need to take out insurance for my stand?

Exhibitors will need to consult their insurance company or broker to cover themselves fully against all risks at the exhibition.

What happens to my money if COVID-19 forces the exhibition to be cancelled?

In the event of the exhibition being cancelled in accordance with UK Government advice and regulations concerning the hosting of exhibitions, no exhibitor will incur a financial penalty and all monies paid to date will be fully refunded.
